How to Choose Your Wedding Venue: Key Questions Before You Sign
Your venue is the decision that shapes every other one: the date, the budget, the guest count, even the style of the celebration. That’s why it pays to choose it early and with a cool head — before falling in love with a gorgeous garden that doesn’t fit your wallet. Here’s a method for getting it right without touring twenty estates.
Start with the numbers, not the photos
Before booking a single visit, pin down two figures:
- How many of you there will be: draft a first version of your guest list. It doesn’t need to be exact, just realistic — a venue for 80 won’t work for 140, and one built for 200 will make 70 people feel lost.
- How much you can spend: the venue and catering usually take about half of your total budget. Set that ceiling before you visit; what the eye sees, the heart wants.
With those two numbers you can rule out 80% of the options from your sofa.
The criteria that actually matter
Once you have a shortlist, compare with concrete criteria:
- Distance and access: how will guests get there? If it’s remote or poorly connected, plan for organised transport from day one.
- A covered plan B: if the ceremony or cocktail hour is outdoors, ask to see the indoor alternative — with chairs set up, not on a floor plan.
- Exclusivity: will there be another wedding the same day? Sharing the estate saves money, but you also share parking, staff and the spotlight.
- Hours and limits: closing time, noise restrictions, whether outside caterers or your own vendors are allowed. Hidden “extras” live here.
- Natural light: visit at the same time of day you’d celebrate. A room that dazzles at noon can feel gloomy at dusk.

- How much is the deposit, and what’s the cancellation or date-change policy?
- How late can we stay, and what does each extra hour cost?
- Is there a real rain plan B, and who decides when it’s activated?
- How many servers will there be per guest, and who coordinates the day itself?
- Can we do a menu tasting before signing the catering contract?
If an answer is vague during the visit, it won’t get clearer later — ask for everything in writing.
