How to Choose Your Wedding Venue: Key Questions Before You Sign

Rustic reception hall with wooden beams, string lights and long tables dressed in white

Your venue is the decision that shapes every other one: the date, the budget, the guest count, even the style of the celebration. That’s why it pays to choose it early and with a cool head — before falling in love with a gorgeous garden that doesn’t fit your wallet. Here’s a method for getting it right without touring twenty estates.

Start with the numbers, not the photos

Before booking a single visit, pin down two figures:

With those two numbers you can rule out 80% of the options from your sofa.

The criteria that actually matter

Once you have a shortlist, compare with concrete criteria:

Once the venue is set, telling everyone is the easy part: a wedding website with the map, schedule and RSVP gets every guest oriented.

The questions to ask on every visit

Bring this list and write the answers down (by the third estate they all blur together):

  1. What exactly does the price include, and what’s charged separately?
  2. How much is the deposit, and what’s the cancellation or date-change policy?
  3. How late can we stay, and what does each extra hour cost?
  4. Is there a real rain plan B, and who decides when it’s activated?
  5. How many servers will there be per guest, and who coordinates the day itself?
  6. Can we do a menu tasting before signing the catering contract?

If an answer is vague during the visit, it won’t get clearer later — ask for everything in writing.

Venue and date are chosen together

Good venues book out more than a year ahead in high season. That’s why venue and date are really one decision: bring two or three possible dates to each visit and lock in the combination that works. If you’re flexible, a Friday or an off-season date can make the very same room much cheaper — we cover it in how to choose your wedding date.

The takeaway

Fix your guest count and budget first, compare venues on logistics — access, plan B, exclusivity, hours — and bring written questions to every visit. The perfect venue isn’t the prettiest one on Instagram: it’s the one that fits your budget, welcomes your people comfortably and holds no surprises in the final invoice.
