The 12-Month Wedding Checklist, Organised Month by Month

A year sounds like plenty of time to plan a wedding — until you discover the venue you love is already booked for your date. The trick isn’t doing everything; it’s doing each thing in its month. This is the checklist we’d use ourselves, month by month, with the invitation and RSVP milestones flagged — because they’re the most neglected tasks and the most visible when they slip.

12–10 months out: the foundations

• Set the total budget and who contributes what. Everything else hangs on this.
• Draft the first version of the guest list: the headcount drives the venue, not the other way round. Our guest list guide helps with the tricky cases.
• Book the date and venue — the first thing to sell out, especially May to October.
• Book the vendors that go fastest: photographer, caterer and music.
• Invitation milestone: if you have travelling guests or a peak-season date, send the save-the-date with just the date and city. Nothing more — details come with the invitation.

9–7 months out: the big decisions

• Dress, suit and rings: alterations and delivery times take months.
• Lock in the ceremony (officiant, church or registry) and start the civil or religious paperwork.
• Reserve a hotel block for out-of-town guests if needed.
• Decide the wedding’s style: décor, flowers, colour palette.
• Invitation milestone: choose your format — paper, digital or hybrid — and start shaping the design and wording. If the numbers are the sticking point, here’s the real invitation budget.

6–5 months out: everything takes shape

• Menu tasting with the caterer and cake decision.
• Book whatever remains: guest transport, décor, favours.
• Plan the hen and stag parties (or officially delegate them — that counts too).
• Invitation milestone: finish the invitation, with all the practical information and the RSVP form ready to go. That way next month’s send-out is pressing a button, not a crisis.

4–3 months out: the send

• Invitation milestone: send the full invitation to the entire list, with the RSVP link and its deadline. The fine-grained calendar, reminders included, is in when to send wedding invitations.
• Order or buy the actual wedding rings.
• First dress/suit fitting with the real shoes and accessories.
• Lock the day-of timeline with your main vendors.

2 months out: follow-up

• RSVP milestone: first friendly reminder to anyone who hasn’t replied. With a response dashboard, filtering the pending guests and writing only to them takes five minutes.
• Order guest favours and the day-of stationery (menus, seating cards).
• Confirm timings in writing with every vendor.
• File the last of the marriage paperwork.

1 month out: closing time

• RSVP milestone: RSVP deadline. Final round of calls to the stragglers and the definitive headcount to the caterer (they usually ask 2–3 weeks ahead).

• Final outfit fitting.
• Prepare the final payments and the cash tip envelopes.

The final week

• Send guests the last practical message: times, transport, parking and the website link in case anyone lost it.
• Hand the timeline and day-of phone numbers to your vendors and two trusted people.
• Delegate EVERYTHING that happens on the day. Seriously: everything.
• Sleep. It’s the most ignored task on this list and the most important one.

The trick that makes the checklist work

It’s not the list — it’s the review: block 30 minutes one Sunday a month to go through it together. Twelve calm check-ins beat one panicked final sprint, and they make the year pass the way it should: with more excitement than stress.
